Acknowledge the information: “I have read the briefing and will contact my host if I am unsure.” The acknowledgement forms part of the visitor record. A briefing does not replace supervision or task-specific training.

Sign in: The visitor enters their name, company, purpose of visit and contact details, then signs in. Contact details can be remembered for future visits on the same phone.

Notify the manager: An arrival notification lets the chosen manager know who has signed in and why they are visiting. The manager can see the arrival in the active visitor list and later search the visit history.

Sign out: The visitor uses their sign-out link when leaving. The visit record shows the departure, and the active visitor list updates. The manager is also notified of their departure when departure alerts are turned on.

Set up your workplace

Create your account, choose your plan and complete the location setup. Add your workplace information and the people in your workplace who should receive notifications. Generate the QR sign and test it at the arrival point.

Review the briefing when hazards change.
Keep emergency contacts up to date.
Ensure access arrangements are current.
Check your managers receive notifications as expected.
Ensure visitors and contractors know how to sign in and out.

Before you start

Do visitors need an app?

No. The QR code opens the sign-in page in a phone browser. Visitors need an internet connection to load the briefing and submit their visit.

What if there is no mobile coverage?

Check coverage where your QR sign will be used. Provide a suitable Wi-Fi connection or a managed alternative arrival process. SmartSignIn does not provide offline sign-in.

Does a recorded acknowledgement make the workplace compliant?

An acknowledgement records that the visitor has responded to your briefing. You still need to identify and manage risks, keep information current and arrange any supervision or task-specific induction needed.

What information can a manager see?

Authorised managers can view people currently signed in and visit history. Access and notifications depend on your workplace and account settings.
